Sales & Marketing Coordinator

The Sales & Marketing Coordinator drives and owns planning and coordinating for Acute's global tradeshows, Global Sales Meeting, Bioskills, Surgical Skills, and all other company marketing and medical education events.  He or she plans and oversees the annual budgets, selects and works with outside vendors, identifies meeting sites and locations, and leads the cross functional discussions around global tradeshow and event strategy. This position is well versed in event management, including venue management, event production coordination, hotel room blocks, vendor management, hotel contracts, and lab/cadaver specimen procurement & coordination.  Other responsibilities include PPSA reporting, website maintenance, marketing collateral creation, product management support and field sales support as needed.

Duties/Responsibilities

  • Plans, manages, and executes a variety of marketing events including tradeshows (US and International), Acute's Global Sales Meeting, and other corporate events from inception to post event completion
  • Works cross-functionally to develop tradeshow messaging, optimize booth layout, and produce product displays for all tradeshows and marketing events. Responsible for assuring event presence and messaging supports the overall marketing strategy and goals
  • Leads venue research as well as the qualification and selection of external vendors. Allocates internal department resources to plan and execute marketing events on time and to budget
  • Manages marketing event budget, including tradeshow, Global Sales Meeting, and medical education events. Generates monthly budget reports that track spend per event and per Region
  • Responsible for auditing tradeshow and event expenditures on a monthly basis to ensure correct allocation of expenses. Reviews event invoices for accuracy and submits purchase orders for payment
  • Develops, manages, and oversees event project plan, budget, agenda, and timeline. Drives vendor and internal team deliverables to meet timeline and budget requirements
  • Organizes all aspects of venue coordination, including meeting space allocation, tradeshow booth and meeting room set-up, diagrams, food & beverage, electrical, A/V, transportation, specimen procurement, and lab coordination
  • Leads on-site inspections of meeting and lab venues and oversees meeting set-up and tear-down. Transitions program information and walks through program specifications and expectations with onsite internal staff (i.e. develops and delivers pre-con meeting presentations)
  • Coordinates surgeon consultants to arrange speaking engagements at tradeshow workshops, Global Sales Meeting, and Medical Education events
  • Independently identifies and implements cost savings opportunities and process improvements
  • Responsible for confirming the availability and facilitating shipment of necessary equipment to support all trade shows and marketing events
  • Monitors event activities to ensure compliance with applicable regulations and laws, satisfaction of participants, and resolution of any problems that arise. Attends and audits tradeshow and event execution on an annual basis
  • Solicits feedback on the effectiveness of marketing events including displays, lead retrieval, booth staff, attendee satisfaction, faculty review, etc., creates action plans and recommend improvements to increase vendor quality, decrease costs, and increase program quality
  • Receives and prioritizes tradeshow invitations from meeting associations based on level of corporate support determined through collaboration with Product Management and Sales
  • Receives and prioritizes event staff requests from the Product Management department, executes selected events within approved budget
  • Responsible for confirming the availability and facilitating shipment of necessary equipment to support all trade shows and marketing events

Qualifications

  • Bachelor's Degree in Business, Marketing, Communications, or related field
  • Superior organizational skills, communication skills, time management, problem solving abilities, and keen attention to detail. Must be able to successfully manage multiple, concurrent project demands within established timelines and budgets on a global scale
  • Prior experience partnering with corporate travel and finance departments, and working knowledge of major event destinations and labs required
  • 2+ years of experience in tradeshow and medical education event planning management required.
  • Ability to consistently drive a high level of quality across multiple events, often running concurrently.
  • Must have a solid understanding and experience in creating and managing budgets (event-specific and overall budget for the functional area)
  • Ability to collaborate with cross functional teams and vendors to facilitate best-in-class company events
  • Must have positive and consistent customer service orientation, and professional interpersonal skills for a broad spectrum of stakeholders
  • Proficiency in computer word-processing, spreadsheets, and database applications (MS Office)
  • Strong verbal and written communication skills required for interacting with customers and coworkers
  • Must be flexible in a fast-paced setting with competing and changing tasks, and show a sense of urgency and strong work ethic
  • Superior organizational skills, communication skills, time management, problem solving abilities, and keen attention to detail. Must be able to successfully manage multiple, concurrent project demands within established timelines and budgets on a global scale
